Supervisors within the Odum School of Ecology have regular responsibilities related to HR and payroll:

  1. Approving time in OneUSG Connect – all timecards must be reviewed for accuracy and approved by the payroll deadlines set by UGA’s central Payroll Office.  If the supervisor notices a discrepancy on an employee’s timecard, please contact the unit’s HR Operations Manager immediately.
  2. Approving leave requests in OneUSG Connect – all leave requests must be reviewed and approved prior to the payroll deadlines set by UGA’s central Payroll Office.
  3. Approving expense reports in OneSource Financial Management System – expense reports should be reviewed in a timely manner.  Supervisors should evaluate if the employee was authorized to purchase the good(s) or service(s).  Once the supervisor approves, the transaction will route to the Ecology Business Team for a financial review.
  4. Approving travel authorizations in OneSource Financial Management System – travel authorizations should be reviewed in a timely manner.  Supervisors should evaluate (1) if the employee is permitted to travel, (2) if the employee is authorized to incur expenses on behalf of the University while traveling.  Once the supervisor approves, the transaction will route to the Ecology Business Team for a financial review.
  5. Performance Assessments of Staff Employees – supervisors supervising staff employees must complete a performance assessment of each staff member each calendar year.
  6. Notify the Ecology Business Team if a change is needed to an employee’s funding source

Supervisors also oversee the day-to-day performance of employees, manage their progress, and maintain a positive environment.

In Ecology, a supervisor should have first-hand knowledge of the expectations of the job and be an eyewitness to work performed. They are responsible for managing workflow, training new hires and notifying employees of other training opportunities, verifying all required training (lab safety, cybersecurity, right-to-know, etc.) are completed, maintaining the employee’s schedule, maintaining confidentiality, and promoting a helpful environment.

See UGA’s guide to Performance Management on UHR’s website.
